Before a meeting, it's always a good idea to know where you and the other person left off, what they asked for, and what stage the deal is at.
Most of that is in your CRM somewhere, but to find it, you'll need to scroll through past emails and notes, and doing that usually takes a lot longer than you might expect.
The good news is, you don't have to do all that by yourself. You can just leave it to an AI tool.
Connect an AI tool like Claude or ChatGPT to OnePageCRM and ask it to brief you. It'll read your notes, calls, deals, and Next Actions, and give you a summary instantly.
In this post, you'll see a few examples of how this works.
How to prepare for a sales call or meeting with AI
Prepping for a meeting is mostly about answering a few questions. Where did we get to last time, is there anything I still owe them, and what should I ask this time?
With an AI tool connected to OnePageCRM, you can get all of that answered in a couple of prompts. And if you like, you can even use the AI tool's voice option to say what you want to get done.
1. Get the brief
The easiest place to start is to ask your AI tool for a quick brief on the person you're about to meet. Specify what you want in the brief and in what order. For example:
“Brief me before my meeting with Ines Almeida at Almeida Catering. Give me a few lines on our history, one line on the open deal with its value and close date, a list of anything I promised her, and anything new about the company since we last spoke.”
AI will go through your notes, calls, and meetings with the person, and give you a short history of everything that's happened so far. It'll also tell you what the open deal is worth and when it's expected to close. And if there's anything you promised her, it'll list these items as well.
2. Ask what to talk about in meetings
Once you know where things stand, the next thing to figure out is what to say in the meeting. You can ask your AI for that too:
“Based on our notes, what should I ask Ines in this meeting, and what did she push back on last time?”
It'll go through your notes and find the things the contact mentioned the last time you spoke. Then it'll suggest a list of questions for the meeting, each based on something that contact has mentioned before.
This is important because those objections are usually buried in a note you wrote in a hurry a couple of weeks ago. The AI can search the text of your notes, calls, and meetings, so it finds them even if you've forgotten they were there.
3. Prep for someone you've never met
If it's a first call, there's no history to look at. In that case, the prep is more about the person and the company, and whether anyone else at that company is already in your CRM. You can have your AI tool check all three at once:
“I am meeting Chris Bauman from Le Creuset for the first time. Give me a profile, what the company does, and whether we already know anyone there.”
The AI will look at what's on the contact's record first, then look the company up on the web. You'll get a short profile, a few lines on what the company does and where it's based, and the sources it used. It'll also point out that the contact, their chief marketing officer, is already in your CRM from a trade show, which is good to know before you talk to his colleague.
4. Prep the whole day at once
If you have a few meetings in one day, you don't have to ask about each person separately. You can use one prompt to get a brief on all of them:
“Brief me on everyone I am meeting today.”
Your AI tool will look at your Action Stream, find the meetings you have scheduled for today, and brief you on each one.
And if there's one scheduled with someone you've never spoken to before, it'll say there isn't much on file yet, so you know to treat it as a first conversation.
5. Save the prep into the CRM
You can ask your AI to save each prep for you as a note and set a reminder for after the meeting:
“Save the brief on Ines Almeida as a note on her contact and set a Next Action to send her the recap tomorrow at 9.”
The brief will be added as a note on the contact's profile, and the Next Action will be set. That way, anyone on your team who opens the contact's page will see the prep and the follow-up. And the next time you need to meet with them, you'll have somewhere to start from.
After the meeting
When the meeting ends, you can also use AI to handle the work that comes after. For instance, you can tell your AI:
“Just met Ines Almeida. She agreed to the two-part install if we hold the price. Log the meeting, move her deal to Proposal Sent, and remind me to follow up on Thursday.”
It'll log the meeting, move the deal to Proposal Sent, and set a reminder for Thursday. And if there's anything else you want done after the meeting, you need only ask your AI to do it.
If you'd rather not type a prompt at all, another option is to use FastTrackr AI. Through its integration with OnePageCRM, this tool helps you come up with a brief for your meetings. And even after the meeting is done, it can help you write notes for it.
Fun fact: One of our customers, a financial advisory firm, saves ten to fifteen hours a week this way.
