How to Use AI for CRM Data Entry

You can use AI to handle the data entry in your CRM. See how it works, as well as the exact prompts you can use.

Keeping your CRM up to date is one of those things that's always worth doing, but it's rarely fun. Every detail has to be entered by hand, and that usually takes a lot longer than you'd think.

The good news is, you don't have to do it by hand anymore. You can leave the data entry to AI.

Connect an AI tool like Claude or ChatGPT to OnePageCRM, tell it what you want added or changed, and it'll make the changes in your CRM for you.

In this post, you'll see how you can use AI for data entry in your CRM.

How to automate CRM data entry with AI

Data entry refers to those everyday jobs in a CRM. It typically includes adding a new contact, logging calls, filling in missing details, cleaning up records that are wrong or entered twice, and the like.

Once your AI tool is connected to OnePageCRM, you can use prompts to do all of this (and more). And if you'd rather not type in prompts, you can use the AI tool's voice option and say what you want done instead.

1. Keep job titles up to date

When someone in your CRM gets promoted, changes jobs, or moves to another company, you need to update their record to match. And your AI tool can help you do that.

For instance, you could ask:

“Check whether the job title and company I have for Michael FitzGerald are still current. Look at his company's website or his public profile, update his record if anything has changed, and tell me what you changed.”

The AI will look the person up online, starting with their company's website, and compare what it finds with their record. If the title or company has changed, it'll update the record and tell you what it changed and where it found the new information.

2. Log a call

After a call, you can tell your AI tool how it went. It'll log the call for you and update anything else you mention, whether that's a deal, a follow-up, or something else on their record.

For example, if you say:

“Just got off the phone with Diego Fuentes. He got the reference, and he's ordering harnesses for all six crews next week. Log the call, add a deal for the harness order at about 4,800, and remind me to send him the order form on Monday.”

The AI will log the call on the contact's record and mark them as interested. It'll also add the deal to their profile and set a reminder for you to follow through with your promise.

You can also log several calls at once. If you've made a few calls, you can tell your AI tool about all of them in one message.

For instance, you can say:

“I made three calls this afternoon. Marcus Webb is going ahead with the autumn order, so move his deal to Proposal Sent and remind me to send him the quote tomorrow. Elena Kovacs didn't answer, I left a message, try her again on Thursday. Hannah Cho wants two more desks on the fit-out, make the deal 8,400 and remind me to send the updated quote on Friday.”

The AI will do all of that at once. It'll log the three calls, update the two deals, and set the three reminders. And if those contacts already had reminders set, it'll mark the old ones as done.

3. Add a whole list of contacts

When you've got a list of leads in a spreadsheet, a notepad, or any other document, you can use your AI tool to add all of them to your CRM at once. And if the details in the file aren't consistent (names in capitals or phone numbers written in different ways, etc.), the AI can fix that as it adds each person.

For example, you can attach the file and say something like:

“Here's the lead export from the Autumn Fair. Add everyone as a lead with the source set to Tradeshow, tag them Autumn Fair 2026, tidy up the names and phone numbers, skip anyone who's already in my CRM, and set a Next Action to send each of them an intro email on Friday.”

The AI will add the new people to your CRM, skip the ones who are already there, and set the reminders. If anything on the list doesn't look right, it'll tell you.

Once the contacts are in your CRM, you can filter your list to show those with the new tag. You'll see all the recently added contacts, as well as their follow-ups.

4. Update a batch of records in one go

There are times when one change needs to go on a whole group of contacts. It could be a new tag, a different status, or a lead source that's missing. Rather than open each contact and make the change yourself, you can ask your AI tool to make the changes for you.

For instance, if you tell the AI:

“I'm putting together a winter offer for everyone in food and hospitality. Go through my contacts and tag anyone in that line of business Hospitality, based on their company and notes. Tell me who you tagged and who you weren't sure about.”

It'll go through the company name and the notes on each of your contacts and tag the ones that fit. Then it'll tell you who it tagged and who it wasn't sure about.

5. Fill in missing information

It's not uncommon for some contacts to be missing a few details, whether it's their website, city, or something else. Rather than spending time trying to fill those in yourself, you can ask your AI tool to do it for you.

For example, you can give it a prompt like:

“Go through my contacts and fill in the blanks where you can. Add the company website from their email address if it's missing, and for companies you can find online, add the head office city and country. Only fill in empty fields, and list anything you weren't sure about.”

It'll find the relevant contacts, look up their missing details, then fill in what it finds. And if it leaves any detail empty, it'll let you know. Likewise, it'll let you know if there's some detail it's not sure about.

6. Find the duplicates and the mess

When data becomes untidy in your CRM, you'll need to clean it up. It could be a duplicate contact, a phone number in the wrong format, or something else. Rather than looking for it yourself, your AI tool does it for you.

For instance, you can ask it to:

“Check my contacts for duplicates and anything messy, like the same person in twice, phone numbers in different formats, or tags that are the same thing spelled differently. Fix the formatting and the tags, and list the duplicates for me to merge.”

The AI will go through your contacts and fix any inconsistencies. It'll also list any duplicates it finds, so you can merge them in OnePageCRM.

Start using AI for data entry in your CRM

If you'd rather automate your CRM data entry than keep doing it by hand, all you need is a OnePageCRM account (whether paid or free trial) and an AI tool that connects to it.

And once the AI is connected, data entry is only the start. You can use it for meeting prep, as an AI sales agent in your CRM, and as your very own AI sales assistant. We even have a CRM prompts library full of things you can ask the AI to do in your CRM.

FAQ

Yes, it can. You connect an AI tool to your OnePageCRM account, and then you tell it what you want added or changed. It'll make the changes for you, whether that's a new contact, a call you want logged, or an update to a record you already have.

Any AI tool that connects to your CRM will do the job, so the best one is usually the one you already use. OnePageCRM connects to Claude and ChatGPT, as well as Perplexity, Grok, and Mistral. The data entry works much the same way in all of them. Just make sure the AI is allowed to make changes when you connect it, because data entry needs that.
